What is a PMS system, and does a homestay need one?

A property management system is the software a hotel or homestay runs the day on. What it does, what it replaces, what it costs in India, and what to look for before you choose one.

What is a PMS system?

A PMS system is a property management system: the software a hotel, homestay or guest house uses to run bookings, rooms, guests, bills and the channels it sells on, from one screen, so nothing is written twice and no room is sold twice.

In hospitality, "PMS" stands for property management system. It is the front desk's system of record: every reservation (from an OTA, the website, the phone or a walk-in), which room each guest is in on each night, what they have ordered, what they have paid and what they still owe. A cloud PMS runs in the browser, so the owner sees the same day from a phone that the caretaker sees at the desk.

The letters are also used for other things: a portfolio management service (a SEBI-regulated investment product), a pavement management system, a practice management system for clinics. This page is about the hotel kind.

What a hotel PMS does, module by module

A full PMS covers the front desk, the rooms and the calendar, the channels (OTAs), rates, the booking website, the guests and their bills, the kitchen, reports, and the team's roles; a smaller one covers only bookings and leaves the rest to other tools.

  • Front desk and reservations: Every stay from enquiry to checkout, with the day laid out for your team.
  • Rooms and calendar: Your rooms, room types and every night of availability in one view.
  • Channel manager: Our own channel manager: OTA reservations in, availability and rates out, without typing anything twice.
  • Rates and revenue: Prices that follow demand, managed from one calendar.
  • Booking engine and website: Your own website and booking page, so direct guests book you without an OTA commission.
  • Guest app: Everything a guest needs during the stay, on their phone. Nothing to download.
  • Kitchen and food: Orders from guests and staff in one queue, billed to the right stay.
  • Billing and payments: One bill per stay, and payments your team can verify.
  • Guests and communication: Know your guests and talk to them consistently.
  • Reports and expenses: Know how the property is doing without a spreadsheet.
  • Team, roles and security: The right access for each person, and your data kept safe.
  • AI assistant: Built into the PMS and the guest app: your team asks about the property, your guests ask about their stay. It answers from your own data and acts only on a yes.
  • Platform: Runs anywhere, stays up to date.

What a PMS replaces

A PMS replaces the paper register, the spreadsheet, the WhatsApp threads for food orders and the separate extranet logins for each OTA; when the channel manager is built in, it replaces that subscription too.

Cloud PMS or desktop software?

For a homestay or a small hotel, a cloud PMS is the better choice: nothing to install, the same screen on every phone, daily backups, and new versions that arrive on their own.

Desktop hotel software lives on one computer at the desk; if the computer is off, the owner at home is blind, and a backup is a chore. A cloud PMS keeps the data on servers with daily backups, works on the phone the caretaker already has, and can be installed on the home screen like an app. The trade-off is that it needs an internet connection, which every property that sells on OTAs already has.

What a PMS system costs in India

Core is ₹2,160 a month billed quarterly or half-yearly, or ₹1,800 a month billed yearly, per property, plus GST, after 21 days free, with the channel manager and the guest app included; Plus adds the AI assistant and guest automations at ₹3,999 a month billed quarterly or half-yearly, or ₹3,499 a month billed yearly, with 500 AI credits a month; your own branded website is ₹1,500 a month more.

Hotel software is usually priced per room or per user, with the channel manager, the booking engine and support sold separately, so the bill grows with the property. Host Labs PMS is priced per property with the channel manager, setup and training in, and no per-room or per-user charges, because a homestay with eight rooms needs the same system as one with twenty.

How to choose a PMS system

Choose a PMS that stops double bookings across every channel, runs on a phone, keeps the money away from staff who should not see it, and handles food, UPI and GST without extra tools; then ask to see it set up for your own rooms before you pay.

  • A channel manager built in, with one availability count for every OTA and your website
  • Works on any phone, with nothing to install, for the owner and the caretaker
  • Roles: the caretaker runs the day, the owner sees the money
  • Food orders from the guest's phone, billed to the right stay
  • UPI on the bill, payment screenshots kept with the stay
  • GST invoices with the slab worked out per room per night
  • A guest app that needs no download
  • Your own booking website, so direct guests skip the commission
  • Daily backups, and setup and training included in the price
  • A property like yours already running on it, that you can ask about

Questions

What does PMS stand for in a hotel?

Property management system: the software the front desk runs bookings, rooms, guests, bills and channels on. The same letters mean a portfolio management service in investing; this page is about the hotel kind.

Is a PMS the same as a channel manager?

No. A channel manager keeps the OTAs (Booking.com, Airbnb, MakeMyTrip and the rest) in sync with one calendar; a PMS runs everything else. Many properties pay for both; Host Labs PMS has the channel manager built in.

Is a PMS the same as a booking engine?

No. A booking engine is the booking form on your own website. A PMS is the system behind it. Host Labs PMS includes a booking website with live availability, so direct guests book without OTA commission.

Does a homestay with a few rooms need a PMS?

If it sells on more than one website, yes: that is where double bookings come from. A PMS with the channel manager built in keeps one calendar for every channel, and runs the day from a phone.

Is there a free PMS system?

Free tools usually stop at a calendar and leave the OTAs, the bills and GST to you. Host Labs PMS is priced per property, with the channel manager, setup and training included, and shows you the system set up for your rooms in a demo before you pay.

How long does it take to set up a PMS?

With Host Labs PMS, three steps: tell us about your rooms, rates and channels; we set it up with you and import your past bookings from Excel; your team signs in on their phones. Most properties switch over on a day they choose.

Can a PMS work on a phone?

Host Labs PMS runs in the browser on any phone, tablet or laptop, installs on the home screen like an app, and gives the owner and the caretaker each their own login.
